After getting blessed with a new baby in Saudi Arabia an an expatriate, your journey for documentation starts which involves multiple steps starting from birth certificate of the baby. Step 1: Get a Birth Report or Birth Notification from Hospital
The first step in the documentation of your newborn baby is to get a birth notification also called birth report from the hospital where baby is born. This birth report is issued by the hospital in coordination with Ministry of Health and the issued birth notification contains MOH stamps along with hospital stamps.
To get your baby’s birth report from hospital, you need to get the required form filled as soon as possible after your baby is born and hand over duly filled form to the staff who is dealing with birth reports in the hospital. The form needs to be filled very carefully by writing your baby name in English and Arabic correctly without any spelling mistakes.
Along with the form, hospital will also ask you to provide photocopies of passport of parents and photocopies of iqama of parents. Once you have provided all the required documents along with the filled form, you will given a date by when you can come and collect birth notification report from the hospital. Typically, it takes a week or so for the issuance of this birth report from the hospital.

Step 2: Visit Ahwal Madani with Appointment for Birth Certificate
In order to get a birth certificate for a newborn baby from Civil Affairs (Ahwal Madani), you need to first take an appointment online through Absher. It is not easy to take appointment and you need to book an appointment well before baby’s delivery to avoid getting delayed and paying penalties. It is recommended to book an appointment for around 15 or 20 days after expected delivery date of your baby. If you go to ahwal madani after one month of your baby’s birth, you will have to pay a fine of 50 SAR which will increase further with any further delays.
With an appointment booked online and having hospital birth report available, you need to visit Ahwal Madani (Civil Affairs Office) of your city by strictly following your schedule (better reach 20 minutes earlier). Please note that you can take an appointment and get your child birth certificate only from the Ahwal Madani office of your respective location and not from any other region. When you will get your ahwal madani appointment booked, appointment letter will contain name as well as location details of Ahwal Madni office where you need to go.

Once you reached Ahwal Madani office with all the required documents with you, you will be given a token after checking your appointment. Upon your turn, you need to go to the counter and provide the staff with all the required documents. After submitting your documents, you will need to wait for a while and once birth certificate of your child has been printed and is ready to be handed over; staff will hand over birth certificate to you.
Once you receive birth certificate of your child in Ahwal Madani, carefully read and make sure that no mistakes are there. In case of any mistakes (God Forbid), you will need to approach the staff again and go through the correction process which may take longer.
